Planning your event

Planning an event can’t be simpler! If you’re looking for more information covering how to run your event, have a look below and see if we can help.

  • Date, location and time

Research your venue well and make sure it has all the facilities you need. The selected date and venue of your event really can be the difference between success and failure.  You will need to make sure that you are aware of any key events in your local community such as other major fundraising activities. Think about who you want to invite and what time is most suitable for them.

  • Cost

Put together a realistic budget of possible costs.

  • Volunteers

Talk to people about your event and ask them to help with the preparations and on the day of the event. Social media is a great way to involve people and will save you time.

  • Keep it legal

Your event may require permission from the police, your local council or even the charity. Give your local authority a quick call to check what you need to do.

  • Insurance

You may require public liability insurance so make sure you have adequate insurance for your event. You’ll need to check that your suppliers have got insurance too. If you need more advice, please get in touch and we’ll be happy to help.

  • Health and safety

Check with us to consider all health and safety issues if you are organising a large event – from food hygiene to fire regulations, it’s better to be safe than sorry!

  • Publicity

Spread the word through posters, flyers, print adverts and radio announcements. We can provide a press release template for you to send to local newspapers.

  • Want to start collecting donations?

Create your own Group B Strep Support fundraising page. This allows you to raise money both online and offline, takes payments via credit or debit card, and you can set up a special text-to-donate code for your event. It’s very easy to email your friends with the URL so they can donate safely online. You can then track the total raised as it grows. Credit/debit card and text donations are sent straight to us, so there’s no hassle your end or our end. It’s easy for everyone.

You can also can download our sponsorship form.

  • Don’t forget that Gift Aid counts

Gift Aid allows charities to claim the basic rate tax, 25p, on every pound donated. If someone donated £100 to your fundraising, then it means that they could be giving us £125. Giving under Gift Aid means that so much more money can be raised at no extra cost to our donors. If you have set up a JustGiving page, then they will claim the gift on our behalf but for all offline fundraising please ask us to send you a gift aid declaration form.

  • Get fundraising tips and materials

We have plenty of fundraising tips to help you plan and promote your event.  We like to show our appreciation to those who fundraise for us, so we offer one of our fabulous T-shirts to each fundraiser who pledges to raise £100. You can also order t-shirts from our online shop. To help ensure your event is a success, we can send you some of our fundraising materials.  Our fundraising team will be in touch as soon as you register your event.

  • Encourage company support

Your employer or local businesses can be a huge help with your fundraising, either by donating money or goods. There are a variety of ways that you can go about promoting this, including:

    • Asking your company to equal what you raise – many companies have a matched giving scheme allowing you to double what you have raised!
    • Writing ‘ask’ letters – write to local companies asking for a direct donation, or if they might offer to donate a prize for a raffle or auction for your event.
  • Buy event goodies

We have a great range of things to buy online that could help with your fundraising, from GBSS t-shirts to wristbands and pin badges.

  • Share your story with us!

Please send us your pictures and stories from your event; we’d love to share them with our community! Reading about your events and creative fundraising ideas can be one of the most encouraging things for new supporters and we often share the work you’re doing on Facebook and Twitter!
